Jaisun AI Privacy Policy

Version 2026-10-13 · Version française

Jaisun AI is a business artificial-intelligence platform provided by Sunwire Inc. ("Sunwire," "we," "us," or "our"), Sudbury, Ontario, Canada. This policy explains what personal information we collect through the Jaisun AI website, the Jaisun demo and support channels, and the Jaisun AI Platform (together, the "Service"), how we use it, where it is processed, and the choices you have.

We follow the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law. Where a customer has signed an order or data-processing terms with us, those terms govern if they conflict with this policy.

1. The two roles we play

1.1 Sunwire as the organization accountable for the information. For website visitors, people who contact us, and the account and billing details of our customers and their authorized users, Sunwire decides why and how the information is used. Sections 2 to 4 describe that information.

1.2 Sunwire as a service provider. Everything a customer submits to its Jaisun workspace — prompts, messages, documents, knowledge bases, contacts, call and message content, and the output generated from it ("Client Content") — belongs to the customer. We process Client Content only on the customer's instructions and as described in the Jaisun AI Platform Service Agreement. If you are an employee, customer or caller of one of our customers and have a question about how that customer uses Jaisun, please contact that customer; we will help them respond.

2. Information we collect on this website

2.1 Access requests. When you submit the request-access form we collect your first and last name, company, work email, phone number, the number of people you expect to use Jaisun, the plan you are interested in, what you want Jaisun to do, and any message you add, along with the date and time and the network address presented to our server. We store the request in our own database and email it to the Sunwire team so we can follow up. We also count the requests received per email address to limit abuse of the form.

2.2 The on-page demo. Messages you type into the "Try it" demo are sent to a Jaisun agent to generate a reply, and the conversation is kept so the agent can follow the thread while you use it. The demo is meant for trying the product: please do not enter confidential or sensitive information in it.

2.3 Demo and support phone lines. Calls and text messages to the Jaisun demo line and to Jaisun Support are answered by a Jaisun agent. Your phone number, the content of the conversation and any details you give the agent are processed to respond to you, may be transcribed or recorded, and may be kept so we can support you, follow up, and improve how the agent handles requests. Where a person needs to step in, the conversation is passed to Sunwire's 24/7 technical team.

2.4 Email to support. Email sent to support@jaisun.ca is answered in the same thread by the Jaisun Support agent and, when needed, by Sunwire staff. We keep the thread so the agent and our team have the history.

2.5 Cookies and server logs. This website sets a session cookie needed to protect its forms and to keep your demo conversation together. It does not use advertising cookies, third-party analytics scripts, or tracking pixels. Our hosting platform keeps standard server logs (page requested, time, browser type and network address) for security and troubleshooting.

3. Customer accounts

When an organization becomes a Jaisun customer we collect the information needed to set up and run its workspace and to bill it: the names, work emails and phone numbers of the account owner and authorized users, company and billing details, plan and usage information, sign-in and security events (including multi-factor authentication), support requests, and an audit trail of actions taken in the workspace. We also keep records of consent and of acceptance of the Service Agreement.

4. How we use information

We use the information described in sections 2 and 3 to:

  • respond to access requests, demo conversations, calls, texts and emails;
  • set up, provide, secure, maintain and support the Service and bill for it;
  • detect and prevent fraud, abuse, security incidents and unlawful use, including rate-limiting the forms and lines on this site;
  • send service notices, such as changes to the Service, this policy or the Service Agreement;
  • tell you about Jaisun products and offers, where you have agreed to that — you can withdraw that consent at any time (see section 9);
  • improve how the Service and the Jaisun agents handle requests, using aggregated or de-identified information wherever possible; and
  • meet legal, regulatory, tax and accounting obligations.

We do not sell personal information. We do not use Client Content to train generalized artificial-intelligence models unless a customer has expressly opted in in writing or through an explicit feature-level consent.

5. Where information is processed

5.1 Hosted in Canada. The Jaisun AI Platform, its storage and its knowledge bases are hosted in Canada. Dedicated deployments are available for customers who need them.

5.2 AI model processing. To generate a response, the Service may send the relevant content to a third-party artificial-intelligence model provider. Depending on the model a customer selects or that applies to a feature, that provider may be located outside Canada, including in the United States, and the content is then subject to the laws of that jurisdiction while it is processed there. We choose business-grade provider configurations and contract so that the content is used only to produce the response and not to train the provider's models, but we cannot control the independent acts of those providers.

5.3 Communications and infrastructure providers. Voice calls, text messages and email pass through telecommunications, messaging, email and cloud infrastructure providers in the course of delivery. Some of those providers may process information outside Canada.

6. When we share information

We share personal information only:

  • with the service providers described in section 5, under contracts that restrict their use of the information to providing their service to us;
  • within Sunwire, with the teams that provide, support, secure and bill for the Service — including Sunwire's 24/7 technical team when a support conversation needs a person;
  • when required or permitted by law, such as a court order, a lawful request from a public authority, or to protect the rights, safety or property of Sunwire, our customers or others; and
  • as part of a merger, acquisition, financing or sale of assets, in which case the information remains subject to this policy or one at least as protective.

7. How long we keep information

We keep access requests, demo and support conversations and related records for as long as we need them to respond to you, to follow up and to protect the Service against abuse, and then delete or de-identify them unless the law requires us to keep them longer.

Customer account information and Client Content are kept for the life of the subscription and for a reasonable period after it ends so that the customer can export its content, then deleted unless retention is required by law or agreed in writing. Billing and tax records are kept for the periods required by Canadian law. Backups are overwritten on a rolling basis.

8. How we protect information

We maintain administrative, technical and organizational safeguards appropriate to the sensitivity of the information, including encryption in transit, role-based access limited to the staff who need it, multi-factor authentication, logically separated customer workspaces, audit trails and security monitoring. A SOC 2 audit is in progress. No service, network or transmission method can be guaranteed completely secure; if we confirm unauthorized access to personal information in our control that creates a real risk of significant harm, we will notify the affected customer or individual and the Office of the Privacy Commissioner of Canada as the law requires.

9. Your choices and rights

  • Access and correction. You may ask what personal information we hold about you, ask us to correct it, and ask how it has been used and disclosed. We will respond within the time the law allows and may need to verify your identity first. In limited cases the law lets us withhold some information, for example where it would reveal another person's personal information; we will explain if that applies.
  • Withdrawing consent. You may withdraw consent to marketing at any time using the unsubscribe link in a message or by contacting us. You may also withdraw consent to other uses, subject to legal or contractual limits, which may mean we can no longer provide part of the Service.
  • Deletion. You may ask us to delete personal information we hold as an accountable organization. We will do so unless we need it to complete a transaction, protect the Service, or meet a legal obligation.
  • Client Content. Requests about information that a customer has put into its own Jaisun workspace should go to that customer. We will help the customer respond.
  • Complaints. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.

10. Minors

The Service is intended for businesses and their authorized users. We do not knowingly collect personal information from anyone under the age of majority in their province or territory. If you believe a minor has provided us with personal information, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. The version date at the top shows when it last changed. For material changes affecting an active subscription we will give customers reasonable advance notice through the Service or by email.

12. Contact us

Questions, requests and complaints about this policy or about your personal information go to Jaisun Support, which is answered by a Jaisun agent any hour and escalates privacy matters to the Sunwire person accountable for privacy.
